Your role will involve managing calendars and travel arrangements, organizing internal and external meetings, preparing reports and presentations, and handling various administrative tasks. Key Responsibilities
- Manage executive calendars and coordinate travel arrangements.
- Organize internal and external meetings, prepare meeting minutes.
- Handle correspondence, document management, and invoicing.
- Prepare presentations, reports, and Excel spreadsheets.
- Support with expenses management and event organization.
- Arrange gifts, flowers, and dinners for clients or business partners.
- Provide administrative support for business events and team activities.
- Collaborate with team members and business units to ensure smooth operations.
Ideal Candidate Profile
We are seeking a detail-oriented, highly organized, and proactive Executive Assistant. You should be comfortable working in an international, multi-cultural environment, with experience managing top-level executives. The ideal candidate will have strong communication skills, the ability to manage multiple tasks effectively, and a positive attitude to support both internal and external clients.
Skills and Qualifications
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication and organizational skills.
- Fluent in English, with the ability to work in a multi-lingual environment.
- Experience in a similar role, preferably within a professional services environment.
- Strong time management skills and ability to prioritize tasks.
- Ability to maintain discretion and confidentiality in all aspects of the role.
- Knowledge of SAP and TOP systems is a plus.
- Ability to work independently while maintaining effective communication with team members.
Education and Experience
- Minimum Bachelor’s degree.
- Previous experience as an Executive Assistant or in a similar administrative role.
- Experience working in a multinational or professional services environment is preferred.
- Experience in calendar and travel management, meeting coordination, and document handling.
